Administrative and Board Support
- Provide administrative support to the Board of Directors
- Prepare meeting agendas and coordinate board meeting materials
- Attend board meetings as required and assist with follow-up items
- Maintain association records and management files
- Coordinate annual meetings and election processes
Financial and Budget Support
- Assist the Board with annual budget preparation and financial planning
- Coordinate with accounting staff regarding financial reports and expenses
- Assist with vendor payment coordination and financial oversight
- Coordinate reserve study updates and long-term capital planning
- Assist with coordination of audits or financial reviews when required
Operations and Property Maintenance
- Conduct routine property inspections and site visits
- Coordinate maintenance activities and repair management
- Oversee and coordinate vendors and service providers
- Solicit vendor bids and proposals for board review when needed
- Coordinate capital projects and major repairs
Compliance and Regulatory Requirements
- Coordinate compliance with structural integrity inspection requirements
- Coordinate Department of Community Affairs (DCA) fire inspection compliance
- Coordinate and file required annual registrations
- Maintain compliance with local and state regulatory requirements
Resident and Community Relations
- Serve as a point of contact for resident inquiries and issue resolution
- Communicate with residents regarding community matters and notices
- Track and follow up on rule compliance issues as directed by the Board
- Coordinate move-in / move-out documentation and procedures when applicable
Municipal and External Coordination
- Coordinate and process municipal reimbursements when applicable
- Assist with insurance documentation and claims coordination
- Coordinate with municipal offices, inspectors, and outside professionals as needed
